Acceptance
By enrolling in any Letour Tennis program or event, you authorise Letour staff to act on your behalf in any emergency requiring medical attention. You release Letour from any liability for injury, illness, or associated costs incurred while participating in a Letour program or event. You agree to Letour’s policies on make-ups, cancellations, fees, weather, privacy, and parental involvement, as outlined below.
Registration, Re-enrolment & Fees
To begin lessons, a registration form must be completed. Once received, we will issue an invoice for the full term.
You will automatically be re-enrolled into the next term. Invoices are sent 2 weeks before the end of the current term, and payment is due by the end of the current term. If payment is not received by then, your place may be offered to another student.
If you do not wish to continue, please notify your team leader in writing (via text message or email).
Holiday programs, tournaments, camps and events can be registered and paid for via the Letour website.
Club Membership Discount
Club member discounts are only available at the specific club where you are both a current member and taking lessons. To receive the discount, you must email proof of current membership (including expiry date) to contact@letourtennis.com
Letour runs coaching programs but does not manage individual club membership systems, so we are unable to verify membership without direct confirmation. Discounts cannot be applied retrospectively and will apply from the date your membership is verified.
Wet Weather & Heat Policy
You will be notified via text message if your session is cancelled due to wet weather or excessive heat. If no message is received, assume your lesson is going ahead as normal.
If the temperature reaches above 37 degrees at the time of your session, or if the session is interrupted by rain, and more than half the lesson has been completed, no make-up will be provided. If less than half of the session has been completed, a make-up will be arranged.
Letour has a policy for all coaches to avoid the use of mobile phones while on court coaching (where possible), to ensure their full attention remains on the lesson at all times. If we do not respond to your message immediately, we are likely on court and will reply as soon as we can.
Make-up & Cancellation Policy
You are entitled to 1 make-up per term.
To be eligible for a make-up, you must notify your team leader in writing (via text message or email) with sufficient notice:
Morning sessions must be notified by 6:00 pm the night before
Afternoon sessions must be notified by 9:00 am the same day
It is your responsibility to follow up with your team leader if you wish to arrange a make-up. You will be offered a maximum of 3 options during the same term or in the school holidays.
Make-ups cannot be carried over to the next term.
If you did not give sufficient notice or have already used your 1 make-up for the term, someone else may attend the lesson in your place, provided they are a suitable age and level for the class.
We particularly encourage this option for private lessons to help ensure the session is still utilised.
For semi-private lessons, both players must be absent to warrant a make-up. If only one player is absent and the other attends, the session will proceed as scheduled, and no make-up will be provided for the absent player.
All washed out lessons will be made up, please contact your team leader during the term to arrange your make-up before the term finishes.
Letour will make every effort to offer a suitable time, though we cannot guarantee your preferred time, day or coach.
For long-term illness or injury, please contact your team leader directly.
Credit Expiry
Unused credits will expire at the end of the term following the one in which they were issued.
Make-Up FAQs & Examples
Q: I’ve notified my coach within the required time that my child can’t attend. Will a make-up be arranged?
A: Yes. You will be given up to three available options, which may include sessions during the school holidays.
Q: Can make-up lessons be carried over or applied to the next term?
A: No. All make-ups must be used within the same term or holiday period.
Q: My child felt unwell when I picked them up from school. Can we get a make-up?
A: Unfortunately, this is considered late notice and does not qualify for a make-up.
Q: I’ve already used my 1 make-up for the term, or I didn’t give sufficient notice. What can I do?
A: If you are not eligible for a make-up, you are welcome to send someone else in your place, provided they are an appropriate age and level for the class. We especially encourage this for private lessons to ensure the session is still utilised.
Q: My child’s lesson was cancelled due to rain. What happens next?
A: Please contact your team leader as soon as possible to arrange an alternative lesson to be completed before the end of term.
Q: It’s raining and I haven’t heard anything. What should I do?
A: If you have not received a text message from us, assume the session is going ahead.
Q: My child broke their arm and can’t attend for several weeks. What do we do?
A: Please contact your team leader to discuss your situation and potential options.
Q: We’re going overseas for a few weeks and told Letour in advance. Can we make up the missed lessons?
A: Yes, this may be possible. Please speak to your team leader well in advance to discuss options for extended absences.
Q: I’m a member at one Letour club, but not another. Will I get my club discount at both venues?
A: No – Letour runs coaching at multiple clubs, but each club operates independently. You’ll only receive a member discount at the club where you’re both a registered member and taking lessons. For example, if you're a member at Victory Park, you won't receive a discount for lessons at Middle Brighton.
Q: I forgot to send proof of membership when I enrolled. Can the discount be applied to past lessons?
A: Unfortunately, no. Discounts can’t be applied retrospectively. As Letour runs coaching programs but does not manage club membership systems, we aren't able to verify your membership unless you email proof directly to us. Your discount will start from the date your membership is verified.
Program Changes
Letour reserves the right to change class times, combine groups, reassign coaches, or adjust any program details where necessary.
If your regular coach for a private lesson is unavailable, a suitable replacement coach will be provided and your session will proceed as scheduled.
Parental Involvement
Letour supports Tennis Australia’s approach to positive and constructive parental involvement in junior tennis. We kindly ask all parents and guardians to keep the following in mind:
- Treat your child the same irrespective of whether they win or lose
- Remember that your child plays for their enjoyment, not yours
- Try to have fun when you’re around your children at training and competition
- Stay relaxed, calm and supportive on the sidelines
- Let the coach do the coaching
- Be prepared to give your child space to grow independently
- Show understanding and encouragement after both good and bad performances
- Communicate openly with your child about how they feel toward tennis and competition
- Avoid pushiness or guilt-based motivation
- Refrain from comparing your child to others
- Don’t force your child to train or compete if they’re feeling overwhelmed – talk about it
These small things make a big difference in your child’s development, enjoyment and long-term love of the game.
Medical & Liability
You authorise Letour staff to act in your best interest in the case of a medical emergency.
You release Letour from liability for injury, illness, or associated medical costs incurred during participation, except where this cannot be excluded under Victorian law.
Consent to Participate & Fitness Declaration
You acknowledge that tennis and related activities involve physical risk. By enrolling, you confirm that the participant is physically fit to take part and will inform Letour immediately if any changes to health or ability occur.
Transport & Accomodation
For any program or event requiring travel or accommodation, Letour may assist with arrangements as a goodwill gesture. You acknowledge that Letour is not liable for issues related to travel or accommodation.
Photography & Video
Letour may take photos or videos during lessons or events for coaching and promotional purposes. By participating, you give permission for your image or your child’s image to be used in marketing, on our website, or on social media, without compensation or prior notice.
Privacy Policy
Your personal data will be handled in accordance with applicable privacy laws. Your contact information may be used to communicate important updates, booking information, and promotions.
Participants aged 3 to 13 may be registered with Tennis Australia’s Hot Shots program to receive starter gifts and access special benefits. For more information, visit https://hotshots.tennis.com.au/register
Late Fees
Any payments not received within 30 days of the invoice date may incur late fees, in accordance with the Penalty Interest Rates Act 1983 (Vic).
Changes to Terms & Conditions
Letour reserves the right to amend these Terms & Conditions at any time. All changes will be reflected on this page.
